Components
Components are the parts inside your assets — oil filters, air filters, belts, separators, and all the other consumables that keep equipment running smoothly (and quietly, if you're lucky).
Component Types
NORDVEST comes pre-loaded with the component types you'll use most:
- Oil Filter (consumable)
- Primary Air Filter (consumable)
- Secondary Air Filter (consumable)
- Oil (consumable)
- Belt
- Drive
- Primary Separator (consumable)
- Secondary Separator (consumable)
- Filter Element (consumable)
- Desiccant (consumable)
Need something different? Create custom component types in Settings, and feel free to edit or remove any of the defaults. They're suggestions, not commandments.
Consumables
Components can be flagged as "consumable," which unlocks service interval tracking. If a part gets replaced on a regular basis — whether it's every 6 months or every 2,000 hours — marking it as consumable lets NORDVEST keep tabs on when it's due next.
Service Intervals
Consumable component types can have default service intervals based on:
- Time — Replace every X months (e.g., oil every 12 months)
- Hours — Replace every X runtime hours (e.g., oil every 2,000 hours)
When both are set, whichever comes first wins. This is how it works in the real world — a compressor that runs 16 hours a day hits its hour limit way before the calendar says it's time.
Example: Oil with a 12-month / 2,000-hour interval on a compressor running 8 hours a day would hit the hour limit around month 8. NORDVEST flags it as due, because math doesn't care about your calendar.
Overriding the Interval for One Component
Sometimes one customer's equipment needs a part changed more or less often than your fleet-wide default — dirtier air, harder duty cycle, whatever the reason. Rather than creating a whole new component type just for that one case, you can override the interval on that single component.
Open the component on the asset's detail page, turn on Override replacement interval, and set your own hours and/or months. Turn the toggle back off and it reverts to whatever the component type (or asset type) normally uses.
Tracking Components
Each component on an asset tracks:
- Type — What kind of part it is
- Part Number — Manufacturer or supplier part number (can link to the Parts Catalog)
- Last Replaced — When it was last changed (date and hour reading)
Service Due Tracking
When you record that a component was replaced during a service, NORDVEST remembers. Combined with service intervals, you can see at a glance:
- When each component was last serviced
- How many hours have passed since the last service (for hour-tracked assets)
- Whether a component is overdue based on time, hours, or both
No spreadsheets, no sticky notes, no "I think we changed that last spring?"
How NORDVEST Decides a Part Is Due
Every consumable component has a service clock: the date (and, for hour-tracked equipment, the meter reading) it was last replaced. NORDVEST adds the component's interval to that clock to get a due date, and that's what drives everything else in this section — the chips on the asset page, the parts forecast, and the pick list.
What Resets the Clock — and What Doesn't
When you record work on a component, you choose one of two actions:
- Changed — the part was actually swapped. This resets the service clock: the due date recalculates from today (or the service date), and the part counts as used for billing.
- Inspected — a tech looked at the part and it's fine to leave in service. This is recorded on the visit's history, but it does not touch the clock. An inspected filter is exactly as due as it was before the visit.
This distinction matters because a tech who checks a filter and decides it still has life left shouldn't accidentally reset the countdown — that would quietly push the real due date further out than the part can actually go. Only a genuine swap restarts the clock. See Service Reports for how Changed vs. Inspected also affects what shows up on a billing document.
Calendar Intervals vs. Hour-Based Intervals
If a component's interval is set in months, its due date is a firm, fixed calendar date — no guesswork involved.
If the interval is set in hours, NORDVEST has to predict when the asset will reach that many hours of runtime, based on how much it's been running lately. That prediction is naturally a little fuzzy — a compressor's duty cycle isn't perfectly steady — so any due date that came from an hour prediction is marked with a ≈ in front of it, e.g. "≈ Oct 12, 2026." A plain date with no ≈ is a hard calendar due, even on equipment that also tracks hours — NORDVEST only marks a date as estimated when the hour prediction is actually what produced it.
When a component has both a months interval and an hours interval, whichever one comes due first wins, exactly as described above under Service Intervals.
If NORDVEST doesn't have enough runtime history yet to make a confident hour prediction, it won't guess — that component simply won't show a due date until there's enough data (or until its calendar interval kicks in instead).
The Service Cadence Gap
Planning a visit further out than usual? NORDVEST checks not just whether a part will be due by your visit, but whether it could come due and pass its due date entirely between now and that visit — a service cadence gap. This matters most for widely-spaced visits or fast-running equipment: a filter with a 3-month interval could come due and then quietly go overdue in the gap before a visit you've scheduled 4 months out, and nobody would see it coming from the due date alone. When NORDVEST spots this, it flags the component with a "Service cadence gap" badge so you know to either service it early or schedule a closer visit.
Reading the Status Chips
Components show one of three plain-language chips, so you don't have to do the math yourself:
- OK — not due before your next planned visit. Nothing to do.
- Due next service — due by, or shortly before, your next visit. Plan to service it then.
- Overdue — already past its due date, based on either a recorded hour reading or a passed calendar date. This is never a guess — NORDVEST only shows Overdue when it has hard evidence, never from a hour prediction alone.
Some components show no chip at all — just a quiet dash. That means NORDVEST doesn't have enough information to predict a due date yet (usually a component that's never been marked Changed, or an asset without enough runtime history for an hour-based part). No chip is not the same as OK — it means "we don't know," not "you're covered."
These same due dates and chips are what drive the Parts Forecast and the pick list — so once a component's due tracking is set up correctly, you get automatic advance warning on what parts to have on hand, not just a badge on the asset page.
Adding Components to an Asset
- Navigate to the asset's detail page
- Click Add Component
- Select the component type
- Enter the part number (optional, but your future self will appreciate it)
- Set the last replaced date if known
- Save
Tip: Recording component replacements during every service keeps your maintenance history accurate. It takes seconds now and saves hours of detective work later.
Part Numbers
Recording part numbers might seem tedious, but it pays off fast:
- Quick reordering — Know exactly what to order without opening the service manual
- Consistency — Ensure the right parts are used every time, even when someone else is ordering
- Cross-referencing — Track which parts work in which equipment across your fleet
Parts Catalog
NORDVEST maintains a Parts Catalog — a central library of all the parts your company uses. Access it from the main navigation under Parts Catalog.
Managing the Catalog
The Parts Catalog is a searchable list with:
- Name — What you call the part (e.g., "Filter Element - 10 Micron")
- Part Number — Manufacturer or supplier part number
- Manufacturer — Who makes it
- Description — Optional notes about the part
- Unit Cost / Unit Price — What it costs you and what you charge
Adding Parts
- Go to Parts Catalog in the navigation
- Click Add Part
- Enter the part details
- Save
Alternative and Cross-Reference Part Numbers
Parts often go by more than one number — OEM vs. aftermarket, old part number vs. new, or different suppliers for the same thing. NORDVEST lets you add alternative part numbers to any catalog item so you can find the part no matter which number you search for.
On the item's detail page, you'll see all cross-reference numbers listed, and searching the catalog by any of them will find the right part.
These alternative numbers aren't just for search — they show up as "or:" options everywhere a tech or dispatcher looks up the part: the asset's component list, the parts catalog, work order printouts, the service request page, and the Pick List (screen and print). Each one gets its own line rather than running together, so a part with several alternates still reads cleanly. It's the same treatment interchangeable parts get, so one number or ten, a part reads the same way wherever you find it.
Item Detail Page
Click any item in the Parts Catalog to see its full detail page, including:
- All part details and alternative part numbers
- Where it's used — A list of every asset that has this part as a component, plus every service where it was used as a material. This is gold when you need to know "which compressors use this filter?" or "how often do we replace this part?"
Linking to Components
When adding a component to an asset, you can link it to a catalog item. This gives you:
- Consistent part numbers across assets (no more "was it 39329602 or 39329062?")
- Quick reordering reference
- Cross-referencing which parts work in which equipment
Linking to Service Materials
When recording work, you can also pull parts from the catalog into the Materials section of a service. This tracks what was used on each job and ties it back to the catalog for cost tracking and reordering.
